Communicating updates to a company's end-users can be challenging. Appropriate messaging, clarity, and concise information should be packaged in an accessible and digestible manner. To help with the implementation and integration of the JumpCloud platform within your organization, we've included some generic email templates you can use to draft corporate communications and packets welcoming your users to JumpCloud and introducing them to the overall project vision. 

The purpose of these emails is to inform your entire organization that the IT teams have recently partnered with JumpCloud to handle identity management and directory services. These emails include the roll out plan, timeline, and the covered resources that will be available in JumpCloud when the project is complete. Please customize these templates to better fit your and your company's needs.

How do I introduce my organization to JumpCloud?

Use this example email pitch for reference:

"One of my jobs is to give you simple, secure access to the tools you need to get your work done. With {insert the difficulties that led to the need to adopt JumpCloud}, it's been hard to do this efficiently, and I know it's been irritating for you as well. To make things easier on all of us, we're going to begin rolling out an identity management service called JumpCloud. After we get fully rolled out, JumpCloud will give you access to {insert scope of rollout here, such as mobile device management, WiFi, and M365/Google Workspace} with one username and password.

You don't need to do anything right now. I'll send several emails over the coming weeks with additional information and next steps."

Introduction to JumpCloud & Implementation Plan

Subject: Company Announcement: New Identity Management Platform - JumpCloud

Body:

Hello Everyone,

{Insert company name} has recently partnered with JumpCloud for our directory, identity, and IT management needs. We will begin integrating JumpCloud within our environment beginning on {insert date}.

What does JumpCloud do?

JumpCloud helps companies increase security, without introducing complexities. Their platform enables the centralization of your passwords so that instead of managing several different passwords across your work resources, JumpCloud consolidates access to every resource using a single strong password. 

JumpCloud also helps manage and secure the following internal resources and authentication:

JumpCloud User Activation (M365 / Google Workspace)

Subject: Action Required - Using JumpCloud for {M365/Google Workspace} Access

Body:

Hello Everyone,

{This week} we will be integrating your {M365 / Google Workspace} access with JumpCloud. After completion, you will use your JumpCloud password to access {M365 / Google Workspace} as you do with {insert resources already managed by JumpCloud, such as computer and WiFi access}.

What I need from you:

By {insert date} you'll receive an email titled “JumpCloud - {M365 / Google Workspace} Sync”. Please ensure that you've completed the following steps by {insert date}.

  • Follow the instructions in this email to update your password to complete the connection between JumpCloud and {M365 / Google Workspace}.
  • {optional} Install the JumpCloud Protect app on your phone from the iOS App Store or the Google Play Store.
  • {optional} Enroll in multi-factor authentication (MFA) in JumpCloud using the JumpCloud Protect App.

{optional} JumpCloud provides simulations on what's expected during the activation and MFA enrollment process within the JumpCloud Protect App. You can see how enrollment and login works after configuration in the following simulations:

SSO (Single Sign-On)

Subject: Action Required - JumpCloud Password for your Applications

Hello Everyone,

We are in the final stage of consolidating your passwords with JumpCloud. As a reminder, we’re doing this to provide secure, simple access to the tools you need to do your work. You’re already using your JumpCloud account and password for {insert resources already managed by JumpCloud, such as computer, WiFi access, Google Workspace, etc.}. After this change, you’ll use your JumpCloud account and password for the following applications as well:

  • {insert apps}

What I need from you:

  1. On {insert date} I will send a confirmation that we’ve moved to JumpCloud for these apps.
  2. Go to the JumpCloud User Portal https://console.jumpcloud.com to confirm you see the apps.
    • Note: If you access the Portal before {insert date}, you won't see them yet.

Devices – End-User Install of JumpCloud Agent

Subject: Action Required - Install JumpCloud Agent & Password for your Computer

Body:

Hello Everyone,

You might recall that we're moving to JumpCloud for our identity management. We’re making this change to provide secure, simple access to the tools you need to do your work. You've already set up your JumpCloud account. On {insert timeframe}, you will all be allowed to install the JumpCloud Agent on your work device from the JumpCloud User Portal.

What this means for you:

  • After you install the JumpCloud Agent on your computer, you'll log in to your computer using your JumpCloud username and password. 

What you'll need to do:

  • Log into the JumpCloud User Portal, https://console.jumpcloud.com.
    • In the left-hand navigational menu, click Security.
    • Download the JumpCloud Agent for your operating system.
    • Click Generate Key. Copy this key and keep the User Portal open. This key is used during the agent installation. 
    • Install the JumpCloud Agent on your device using the install wizard. When prompted, paste the generated key you copied. 
    • Complete the installation.
  • Notify me when you've completed the agent installation and we'll sync your device account password with JumpCloud.

Note: For macOS users, you'll need to approve the JumpCloud Agent Full Disk privileges during the install. Please grant the agent this privilege in System Settings (formerly System Preferences).

As we continue rolling out JumpCloud to manage your tools and resources, you'll use your JumpCloud account to manage access to them. I'll send an email whenever there's a change coming.

Agent Push / Admin Remote Install

Subject: Action Required - JumpCloud Password for your Computer

Hello Everyone,

You might recall that we’re moving to JumpCloud for our identity management. We’re making this change to provide secure, simple access to the tools you need to do your work. In support of this change, we need to install some software on your work computers starting on {insert timeframe}.

What this means for you:

  • After the JumpCloud agent is installed on your computer, you’ll need to use your JumpCloud username and password to log in to your computer.

What you’ll need to do:

  • The next time you log in to your computer, you’ll use your JumpCloud username and password.

Reminder: Your JumpCloud username will be the same as the username you currently use to log in to your computer today.

{If macOS devices are in the environmentIMPORTANT: Mac users must log out and log back in to complete the onboarding process. At the login screen, you'll be presented with two fields for passwords.

  1. Enter your password prior to JumpCloud into the Previous Password field.
  2. Enter your current JumpCloud password in the Password field.

By now, you've already set up your JumpCloud account. By {insert timeframe}, I’ll come install some software on your computer.

What this means for you:

  • After we install the JumpCloud Agent on your computer, you'll begin using your JumpCloud username and password to log in to your computer.

As we continue rolling out the implementation, you’ll eventually use your JumpCloud account to manage access to your other tools and resources. I’ll send an email update when additional changes are coming.

RADIUS

Subject: Action Required - JumpCloud password for your WiFi

Hello Everyone,

On {insert date}, you’ll get a message on your computer to log in to our {WiFi or VPN} network {insert WiFi SSID network name}.

What you need to do:

  • Log in with your JumpCloud username and password. This is the same username and password you use for your other resources we've previously connected with JumpCloud. You can find your JumpCloud username within the JumpCloud User Portal at https://console.jumpcloud.com

Why is this happening?

We’re moving to an identity management solution called JumpCloud to provide simple, secure access to all the resources you need to get your work done. We’ve already rolled it out to {insert completed rollout steps}. Securing our Wifi network is the next step.

After you enter your username and password, you should be good to go.

  • If you forget your login credentials, you can find your JumpCloud username within the JumpCloud User Portal: https://console.jumpcloud.com/.

Why is this happening?

We're moving to an identity management solution called JumpCloud to provide simple, secure access to all the things you need to get your work done. We've already rolled out to {insert completed rollout steps}. Securing our network is the next step. 

We're estimating to have this transition completed by {insert date and time}. We'll send an email notification when we reach completion.

Password Complexity Requirement Updates

Subject: Action Required - Updating Our Password Complexity Requirements

Hello Everyone,

To help secure our company, this week of {insert date here} we're updating our JumpCloud password complexity requirements. As part of these updates, passwords will now expire after {enter number of days} days.

After we make these requirement updates, you'll need to reset your JumpCloud password and create a new one that adheres to the new complexity requirements. Additionally, after the updates, you'll have to reset your password before its expiration date to to ensure that you can access your JumpCloud-managed resources, such as {insert resources managed by JumpCloud, such as user devices and SSO applications}.

What I need from you:

On {insert date} you'll receive an email titled “JumpCloud - Reset Password.” Follow the instructions in this email to reset your password and create a new one that follows our new complexity requirements.

{If devices are managed by JumpCloud AgentNote: If your device has the JumpCloud Agent app installed, you may reset your password directly from your computer in either the cloud icon in your tray or Start menu.

Going forward, update your password before it expires to ensure that you can access your JumpCloud protected resources without interruption.

JumpCloud Menu Bar App Launch Mac

Subject: Coming today...new JumpCloud Menu Bar App to reset your password!

You can use this app to reset your password when it’s about to expire. You’ll still be able to reset your password from the JumpCloud User Portal, but the app will save you some steps.

    • Hint: Use this method when you’re on your computer. It’s the most secure way, and it’s fewer steps for you.

    • Note: You still need to sync your password in the JumpCloud Menu Bar App if you change your password using the User Portal.
