88% Gain in Efficiency: Whatfix Achieves Unified IT and Accelerated Growth with Google Workspace and JumpCloud

Whatfix, a global AI-native platform for enterprise adoption, empowers organizations worldwide to maximize software adoption. With nearly 900 employees across multiple geographies, Whatfix relies on Google Workspace as its core collaboration suite, valuing it for it’s usability and scalability.

However, as the company grew, Whatfix’s IT environment became increasingly dynamic, spanning macOS, Windows, and Linux devices and dozens of SaaS applications. While Google Workspace provided the collaboration backbone, Whatfix needed enterprise-grade user lifecycle governance, cross-OS device management, and stronger access controls than OAuth alone could provide.

To bridge this gap and secure their scaling infrastructure, Whatfix adopted JumpCloud. Its deep, native integration with Google Workspace became the foundation of a secure, automated, and scalable IT ecosystem.

Here are some key impacts at a glance:

83% faster user provisioning.

80% gains in efficiency.

50% reduction in login issues

Whatfix has been a Google Workspace organization for over a decade, choosing the platform for its:

  • Ease of use for a global workforce
  • Flexibility to accommodate rapid scaling
  • Powerful built-in collaboration tools (Gmail, Drive, Docs, Sheets)
  • Smooth learning curve for new hires

But as Whatfix scaled, Workspace required a complementary identity layer. As Achyuth, Head of Enterprise Security & IT, puts it:

Google Workspace meets everybody’s requirements across the spectrum. It’s friendly, scalable, and has the enterprise-grade features we need, but it is not an Active Directory. OAuth is great, but it only goes so far. We needed enterprise-grade user management, uniform policies, and stronger security controls. This is where JumpCloud became essential.

JumpCloud: The Essential Directory Service Integration

JumpCloud integrated seamlessly into the existing environment, allowing Whatfix to retain all the benefits of Google while adding crucial directory, identity governance, and comprehensive device security capabilities.

1. JumpCloud Became the Single Source of Truth

JumpCloud was established as the active identity layer, fundamentally automating the user lifecycle. The process now flows effortlessly:

  • HRMS triggers a passive sync, informing the system of a new hire.
  • Once the IT team verifies and activates the user within JumpCloud, the platform takes over, automatically provisioning the verified identity into Google Workspace.
  • The same verified identity is then synchronized to Atlassian, Slack and other downstream applications, ensuring instant, secure access for the employee.

This automation saves hours per employee and eliminates multi-system dependencies.

When we create a user in JumpCloud, it automatically creates the Google account and all downstream accounts. That’s how we achieve these efficiency gains and ensure security from day one.

2. Extending SSO and Governance to Generative AI

Whatfix relies heavily on generative AI (Gemini and ChatGPT) for productivity. The unified identity layer ensures secure access:

  • Gemini integrates through Google Workspace, supported by the JumpCloud identity.
  • ChatGPT integrates directly via JumpCloud SSO and SCIM, enabling centralized access and license management.

This allows Whatfix to manage its core AI and productivity tools as part of the same unified access layer.

3. Strengthened Cross-OS Security Policies

JumpCloud further enabled Whatfix to implement comprehensive, unified security controls across its entire fleet. This included:

JumpCloud became the perfect fit for Whatfix, given their multi OS environment.

We considered several solutions, including Microsoft Entra, to identify a platform that could operate reliably across all our environments. JumpCloud proved superior in its flexibility for policy configuration and ease of implementation.

The Outcomes: Security, Automation, and IT Efficiency

The combination of Google Workspace and JumpCloud delivered transformative improvements.

Faster Provisioning and Onboarding:

Centralizing identity in JumpCloud and automating Workspace provisioning eliminated manual steps and reduced the time to onboard a new employee. What once took 5–6 hours now takes under one hour,  which is an 83% acceleration.

Massive Reduction in IT Overhead:

User provisioning and deprovisioning dropped from 3–4 hours to just 30 minutes, representing an 88% efficiency gain. Furthermore, policy execution and patching across the global fleet, which previously required hours of remote work, now happen in under one hour.

Improved User Experience and Support:

SSO consolidation through JumpCloud cut identity-related help desk tickets and login issues in half, resulting in 50% fewer access-related support requests.

100% Security Policy Compliance:

Security policy compliance, which once required up to 90 days of manual evidence collection, is now automated and verifiable instantly.

100% Security Policy Compliance:

Security policy compliance, which once required up to 90 days of manual evidence collection, is now automated and verifiable instantly.

The Path Ahead: Building a Password-less Future

Whatfix is actively evaluating JumpCloud Go, which introduces fingerprint-based, passwordless authentication. This is expected to further improve security while dramatically simplifying employee login experiences.

In the meantime, the seamless integration of Google Workspace and JumpCloud continues to deliver efficiency and confidence to the Whatfix IT team.
