Manage Workspace Distribution Groups Remotely

Google Workspace provides organizations with email, video conferencing, chat, and document collaboration — all requisite resources when many operations shifted to a work-from-home model due to COVID-19. Given the criticality of Google Workspace accounts in today’s IT climate, administrators need a way to manage Google identities efficiently and securely to keep their organizations running smoothly.

Using the JumpCloud directory platform, you can now manage Google Workspace distribution groups automatically. With this addition, you have the ability to manage nearly all Google Workspace user lifecycle events without entering Google Workspace itself. Instead, it is all done remotely from the JumpCloud Admin Portal, connecting users to the people they work with as well as their required IT resources. That way, you can forego popping in between multiple solutions to manage Workspace users, and do so through one consolidated platform.

How It Works

The JumpCloud directory platform manages user identities, their access, and their devices thanks to secure authentication protocols and a device-based agent. JumpCloud integrates directly with Google Workspace, serving as the core directory layer for Workspace identities.

With the new distribution group management feature, you can manage existing groups — as well as create new ones — all from the comfort of the JumpCloud Admin Portal.

What is a Distribution Group?

In Google Workspace, IT admins designate groups of employees — often delineated by role or department — which are referred to as distribution groups. For email purposes, distribution groups receive emails en masse (i.e. Distribution groups are also used to apply access permissions for documents and file storage in Google Drive.

Although useful, managing distribution groups through Google creates issues for some admins. Often, distribution groups are manually created and managed, taking up valuable time that could be spent securing identities or other crucial tasks, In addition, due to manual management, some users may be inadvertently left out of a group, meaning that they will miss out on related emails and information.

By centralizing and automating distribution group management, IT admins can save considerable time. Using JumpCloud, IT organizations manage these groups without having to do so through the Workspace Admin Portal, API, or Google Cloud Directory Sync tool. Instead of creating a User Group in JumpCloud and then leaving the JumpCloud Admin Portal to create a duplicate distribution group in your Google Workspace console, you can automatically create and manage users and their groups directly in JumpCloud.

Streamlined IT Management

This form of IT management gives you the most centralized and convenient control over your users and their access. Here are a couple of the key benefits:

  • Efficiency: Using JumpCloud’s Google Workspace integration, you can move more of your management tasks into a single console, rather than being forced to navigate between multiple consoles. You can also automate the process of creating and managing users’ Google Workspace accounts and groups.
  • Security: The integration also increases your organization’s security because it establishes a bidirectional sync between JumpCloud and Google Workspace and ensures your core services are working in lockstep (as well as other directories such as Microsoft 365™, Active Directory®, and HRIS platforms). That way, you can centrally grant and revoke access and rest assured there aren’t discrepancies between your users and groups across services.

One Platform for All

Outside of Google Workspace, JumpCloud also manages devices (Windows®, Mac®, Linux®), applications on-premises and in the cloud through LDAP and SAML, networks through RADIUS, and much more. Essentially, JumpCloud consolidates the management of access for virtually all of your IT resources into a single platform, streamlining your administration needs for in-office and remote employees alike.
