{"id":43642,"date":"2020-01-06T10:18:08","date_gmt":"2020-01-06T17:18:08","guid":{"rendered":"https:\/\/jumpcloud.com\/?post_type=resource&#038;p=43642"},"modified":"2021-09-28T17:41:48","modified_gmt":"2021-09-28T21:41:48","slug":"nome-public-schools-case-study","status":"publish","type":"resource","link":"https:\/\/jumpcloud.com\/resources\/nome-public-schools-case-study","title":{"rendered":"Nome Public Schools Case Study: Saving Time and Money with the Cloud"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\" id=\"intro\">Introduction<\/h2>\n\n\n\n<p><a href=\"https:\/\/www.nomeschools.org\/\">The Nome Public School District<\/a> (NPSD), or the Nome City School District, serves students grades K-12 in Nome, Alaska. The district staff previously leveraged Open Directory<sup>\u00ae<\/sup> (OD) to manage user authentication to their fleet of MacBooks<sup>\u00ae<\/sup>, but recently began adopting Chromebooks<sup>\u00ae<\/sup> to save money and take advantage of the free tools offered by G Suite for Education\u2122. OD doesn\u2019t integrate natively with G Suite, so the district\u2019s Director of Technology, Jim Shreve, started looking for a better solution.<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large is-resized\"><img decoding=\"async\" src=\"https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/logocolor3-840x1024.jpg\" alt=\"\" class=\"wp-image-43646\" width=\"210\" height=\"256\" srcset=\"https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/logocolor3-840x1024.jpg 840w, https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/logocolor3-246x300.jpg 246w, https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/logocolor3-768x937.jpg 768w, https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/logocolor3.jpg 1197w\" sizes=\"(max-width: 210px) 100vw, 210px\" \/><\/figure><\/div>\n\n\n\n<ul><li><strong>Organization: <\/strong>Nome Public School District<\/li><li><strong>Size: <\/strong>Approximately 800 combined teachers and students<\/li><li><strong>Location: <\/strong>Nome, Alaska<\/li><li><strong>Problem: <\/strong>Needed an affordable solution to manage user authentication for Mac and Windows devices, provision accounts for G Suite and Chromebook users, and leverage emerging cloud-based technologies<\/li><li><strong>Goal: <\/strong>Find an affordable directory that worked with their IT environment<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"background\">Background<\/h2>\n\n\n\n<p>Although Apple<sup>\u00ae<\/sup> products served the school district well in the past, Shreve said acquiring them became cost-prohibitive.<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large is-resized\"><img decoding=\"async\" src=\"https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/STA_STA_SHREVE_JAMES.jpg\" alt=\"\" class=\"wp-image-43648\" width=\"160\" height=\"200\" srcset=\"https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/STA_STA_SHREVE_JAMES.jpg 640w, https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/STA_STA_SHREVE_JAMES-240x300.jpg 240w\" sizes=\"(max-width: 160px) 100vw, 160px\" \/><figcaption>Jim Shreve<br>Director of Technology, Nome Public Schools<\/figcaption><\/figure><\/div>\n\n\n\n<p><\/p>\n\n\n\n<p>\u201cWe&#8217;re starting to switch a lot of our student devices to Chromebooks because of the cost difference more than anything,\u201d Shreve said.<\/p>\n\n\n\n<p>After switching to Chromebooks, he realized Open Directory was not as flexible as the school district needed it to be. He needed a directory that was scalable with user authentication and supported more LDAP and SAML SSO connections. He also wanted a solution that let him take advantage of RADIUS and emerging technologies.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\"><p>\u201cWe needed to hammer everything into OD, which was painful,\u201d he said, \u201cand so at that point, we started looking around for other solutions.\u201d<\/p><\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"evaluating\">Evaluating Solutions<\/h2>\n\n\n\n<p>NPSD had used Apple products and Open Directory for many years, but Apple deprecated many of its features. This made it difficult to mass-create user accounts, and it didn\u2019t include services like RADIUS and VPN.<\/p>\n\n\n\n<p>\u201cAs they deprecated additional services, it would change what we were able to do and how long it took to do it,\u201d Shreve said.<\/p>\n\n\n\n<p>His department leveraged Jamf for Mobile Device Management (MDM) and to supplement deprecated policies. They also used it to restrict features, but they had to manually enter user information into OD separately. Although that process worked, it was time-consuming. Shreve wanted a solution that was more streamlined.<\/p>\n\n\n\n<p>As such, he looked into Active Directory<sup>\u00ae<\/sup> (AD), but quickly determined it was not a good fit.<\/p>\n\n\n\n<p>\u201cWe were concerned about purchasing an AD server, standing it up, doing all the maintenance on it, and also maintaining all those user accounts and everything else,\u201d he said. \u201cI thought, \u2018We can plug all this stuff in, but we\u2019re going to be the ones that have to double those connections and make it all work.\u2019\u201d<\/p>\n\n\n\n<p>The implementation, maintenance, and manual labor costs did not justify the use of AD for NPSD.<\/p>\n\n\n\n<p>\u201cWhen you add up the server costs, delivery costs on servers to Nome, Alaska, and all of the licensing, it\u2019s going to put you around $20,000,\u201d Shreve said. \u201cWith Active Directory, we need a replica in case something happens. That doubles the equipment replacement cost when it comes time to upgrade those servers.\u201d<\/p>\n\n\n\n<p>A cloud-based solution was preferable for those reasons. Shreve pointed out that, \u201cBy the time we put numbers to the paper, it was cheaper to go with JumpCloud<sup>\u00ae<\/sup>, and it offers a heck of a lot more capabilities.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"action\">JumpCloud in Action<\/h2>\n\n\n\n<p>Shreve uses JumpCloud\u2019s holistic approach to IT resource management to accomplish more in a school year without overstressing the budget. The features he values most are G Suite Sync, user management for Chromebooks and lingering macOS and PC platforms, provisioning\/deprovisioning or suspending users, and RADIUS authentication for select staff members.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">G Suite Sync<\/h3>\n\n\n\n<p>NPSD staff had been leveraging G Suite for Education to make up for the declining relevancy of their OD instance. The process for integrating that with JumpCloud and replacing OD was highly efficient using JumpCloud\u2019s PowerShell tool.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\"><p>\u201cWith JumpCloud, I was able to download all user information from Google and quickly manipulate it for the PowerShell module,\u201d Shreve said. \u201cWithin four hours, I had all our users loaded into JumpCloud and ready to go.\u201d<\/p><\/blockquote>\n\n\n\n<p>Shreve can manage users created in G Suite just as easily as those created in JumpCloud thanks to a lightweight sync, as well as JumpCloud\u2019s intuitive interface.<\/p>\n\n\n\n<p>Shreve added all the existing users, and he now provisions new users in JumpCloud, which adds them downstream. \u201cWe don&#8217;t have to worry about Google because JumpCloud automatically provisions the Google account.\u201d<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">User and System Management<\/h3>\n\n\n\n<p>JumpCloud allows Shreve to ensure that users are only able to access the devices they\u2019re assigned to.<\/p>\n\n\n\n<p>\u201cWe&#8217;re actually going in JumpCloud, locating individual users, and assigning them specifically to their system or a group of systems,\u201d Shreve said. \u201cYou don&#8217;t have to worry about a user losing their work when another student grabs their 1:1 assigned computer by mistake.\u201d<\/p>\n\n\n\n<p>This secures user data with unique sets of credentials so others can\u2019t meddle in their files without authorization.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Provisioning and Suspending Users<\/h3>\n\n\n\n<p>With JumpCloud\u2019s streamlined provisioning features, Shreve and his team can grant users access to multiple applications in less than an hour.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\"><p>\u201cProvisioning to eight or nine different applications used to take an hour or so per user. Now, you establish the account in JumpCloud and users are provisioned within 20-30 minutes.\u201d<\/p><\/blockquote>\n\n\n\n<p>The Suspend User option also allows him to manage transient users more efficiently.<\/p>\n\n\n\n<p>\u201cI love the Suspend User option,\u201d Shreve said. \u201cWe have a lot of students who are transient in this area. They&#8217;ll come in to Nome, go to school for a couple of months, and then go back to their village and attend school there before returning a month or two later. Suspending that account for a little while and then just bringing them back online is a huge time saver for our department.\u201d<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">RADIUS Authentication<\/h3>\n\n\n\n<p>Due to Nome\u2019s remote location, bandwidth and cellular signal are&nbsp; scarce commodities for NPSD.<\/p>\n\n\n\n<p>\u201cWe&#8217;re looking at leveraging RADIUS through JumpCloud for the teachers,\u201d Shreve said. \u201cDepending on your carrier, there\u2019s basically no cellphone service in some of our schools. Your phone is just a brick unless you\u2019re on the WiFi.\u201d<\/p>\n\n\n\n<p>The intent is to provide an exclusive WiFi network for faculty so that, in case of emergencies, they can use their cell phones without needing to worry about bandwidth restrictions.&nbsp;&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"result\">The Result<\/h2>\n\n\n\n<p>JumpCloud more than filled in the gaps Open Directory left NPSD with. Now, the school district staff uses JumpCloud as its primary directory, integrating it with G Suite for Education and spending less time and money overall than they would have with on-prem alternatives.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\"><p>\u201cGoing by the industry standard, you\u2019d need to replace AD servers every five years. The cost would then exceed what it\u2019s costing us for JumpCloud, and that&#8217;s not even including the time spent on implementation and maintenance of the servers, user accounts, and external connections.\u201d<\/p><\/blockquote>\n\n\n\n<p>Shreve and his team now have more time to focus on researching and implementing IT resources with high value to the classroom. \u201cI have been super busy the last month or so doing research on what we use for our instructional delivery for the classrooms,\u201d Shreve said. \u201cWe&#8217;ve been using interactive boards with projectors and now we&#8217;re looking at moving up to interactive displays.\u201d<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large is-resized\"><img decoding=\"async\" src=\"https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/Team-Photo-2.png\" alt=\"\" class=\"wp-image-43665\" width=\"358\" height=\"386\" srcset=\"https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/Team-Photo-2.png 477w, https:\/\/jumpcloud.com\/wp-content\/uploads\/2020\/01\/Team-Photo-2-278x300.png 278w\" sizes=\"(max-width: 358px) 100vw, 358px\" \/><figcaption>The Nome Public School IT Team<br>From left to right &#8211; Systems Administrator: Nathaniel Tracy &#8220;Cyborg&#8221;, Director of Technology: Jim Shreve &#8220;Green Lantern&#8221;, Technology Integrations: Justin Heinrich &#8220;Batman&#8221;<\/figcaption><\/figure><\/div>\n\n\n\n<p><\/p>\n\n\n\n<p>By streamlining NPSD\u2019s IT needs through JumpCloud, the admins are able to complete work that has greater impact on their faculty and, critically, on their students.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"conclusion\">Conclusion<\/h2>\n\n\n\n<p>IT admins in education face the unique task of provisioning and deprovisioning large waves of users every year, managing a mixture of systems, and \u2014 in the case of Nome \u2014 innovating ways to keep users online despite network challenges.&nbsp;<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\"><p>\u201cI&#8217;ve been very happy with JumpCloud,\u201d Shreve said.&nbsp;<\/p><\/blockquote>\n\n\n\n<p>He added: \u201cIt&#8217;s already saved us a ton of time on provisioning, deprovisioning, and password resets. We used to spend roughly 600 hours a year doing nothing but that. With JumpCloud, I would be surprised if we even spent 100 hours on the same tasks.
