Understand Email Actions

Use email actions to automate notifications across your organization. Whenever a workflow triggers or completes a task, the system automatically alerts your configured users, email recipients, or distribution channels.

Types of Email Actions

  • Reactivate user: Sends a standard activation or reactivation email to a specific user to help them restore access for their account.
    • Example Use Case: When a temporary contractor's contract is renewed, use an If/Else flow to check their status. If it is active, this action automatically sends them a reactivation email so they can log back into their system without manual intervention.
  • Send notification to email channels: Sends an automated alert message directly to one or more designated, pre-configured email distribution channels or groups.
    • Example Use Case: Automatically alert your internal security or operations team (for example: it-alerts@yourcompany.com) whenever a critical event happens, such as a failed workflow execution or a compliance change on a device.
  • Send notification to email recipients: Sends a custom notification email directly to one or more specific, individual email addresses.
    • Example Use Case: When a new user is added to a specific department group, trigger this action to send a tailored welcome notification or a specific policy document straight to that manager's or employee's personal inbox.

Using Email Actions

To use email actions while creating a workflow:

  1. In your Workflow Canvas, click the + icon to add an action.
  2. In Action Type > Actions > Custom Actions, type email to quickly search and then select the required email action. The action card will be added to your canvas.
  3. In the Workflow canvas, click the action card to open the configuration pane on the right. The options vary depending on what action you selected.
    • Reactivate user:
      • You can select a user from the Select User dropdown or switch to Enter ID and select a variable from the dropdown.
      • (Optional) Enter an alternative email address to override default routing. When provided, JumpCloud sends the activation or notification message to this address instead of the user's primary directory email. Leave this field blank to use the primary email.
    • Send notification to email channels
      • Select at least one email channel from the dropdown. These channels are configured in Settings > Notifications. If you haven’t configured notification channels yet, or want to add more, see Create Email Channels to learn more.
      • Enter a Subject.
      • Enter the Email body text using the available formatting options. You can scroll down to preview the email.
    • Send notification to email recipients:
      • In the Add email recipients field, enter at least one email address and then click Add. You can add multiple recipients.
      • Enter a Subject.
      • Enter the Email body text using the available formatting options. You can scroll down to preview the email.
      • The details are automatically populated in the action card.
        To see the details of the email body, click View.
