Manage Users in the Enterprise Portal (Preview)

Enterprise Portal Admins can see all of the users they manage across all organizations in the Enterprise Portal, and quickly take action to resolve any issues. You can filter by User State, Organization, or Role to quickly see which users need help and select from options like unlocking accounts, suspending users, or forcing a password change.

Considerations:

  • You will only see users from Organizations that you have access to in the Enterprise Portal.

Users Tab

To add a new User:

  1. Log in to your Enterprise Portal.
  2. Under the Users tab, click the (+) New button in the top left corner.
  3. Select which Organization the new user belongs to, then click Add Users.
  4. The Admin Portal for the selected org launches and brings you to the New User Details page.
  5. Fill out the information for each tab at the top; Details, User Groups, Devices, and Directories, then click save user.
  6. The new user will appear under the Users tab in the Enterprise Portal. See Add Users to the Admin Portal to learn more.

To filter existing Users in the Users tab:

  1. Log in to your Enterprise Portal.
  2. Click on the Users tab.
  3. An aggregate list of all your users will be displayed. You can search for a specific user in the Search bar at the top of the page.
  4. You can also click the Filter dropdown menu for additional filtering options like by Organization, User State (Active, Suspended, Staged), or MFA Status (Enrolled, Not Enrolled).
  5. Once you’ve selected which filter you want, click Apply.
  6. You can also filter your users by using the columns at the top of the page; User State, Username, Name, Email, Alerts, MFA: TOTP, Admin Role, and Organizations.

Actions for Users

Depending on the state and permissions of the user, certain actions might not be available. For example, already locked user accounts can’t be locked again.

To apply actions to a user:

  1. In your Enterprise Portal, click on the Users tab.
  2. An aggregate list of all your users will be displayed. Select the user(s) that need to be addressed, then click Actions and select an option:
    • Assign Administrator Access - Assign an administrative role to the user, this will update the permissions and you will see the user appear under the Administrators tab.
    • Force Password Change - Immediately expires the user's password and sends an email to the user to change their password.
    • Move User - Transfer users from their source organization to a specific destination organization.
    • Suspend Now - Immediately expires the user's password and sends an email to the user to change their password.
    • Unlock User - Re-activate a user who is locked out of their account due to failed password and TOTP MFA attempts.
    • View Assigned Devices - Shows a list of all devices bound to the user.
    • View Insights - Shows an aggregated list of all the directory insights for the user across all orgs.
    • Update Manager - Assign a new manager.
    • Open the user record - Allows the user record to be opened, viewed, and edited as long as assigned scopes allow.
  3. Once your selection is made, you will be prompted to Confirm or Cancel.
  4. You can also apply actions to a bulk set of users by selecting more than one, and then the actions available are; Unlock, Suspend, and Reset Password.
  5. You can also see what User Groups, Devices, and Applications are bound to each user by clicking on the expandable row dropdown arrow next to each user’s User State.
  6. Clicking on the Username will open the user's details page in the Admin Portal of the org that the user is associated with.
  7. Clicking on the name of the Organization will open the homepage of the Admin Portal for that Organization.

There are 2 types of groups:

  • Enterprise - created at the enterprise level and automatically available across all organizations.
  • Organization - created in the individual organizations and only available in the individual organizations. Both types of groups can be static or dynamic.
Important

Group attributes are configured at the Enterprise level. Users can only be connected to groups at the Organization level.

Exporting Users

To export Users:

  1. In your Enterprise Portal, click on the Users tab.
  2. In the top right corner, click Export>CSV. You have the option to download as a CSV or JSON.
  3. A copy of the file saves locally to your device.

Viewing User Details

To view details about a user:

  1. In your Enterprise Portal, click on the Users tab.
  2. In the list of users, click on the Username for the user you want to view details for.
  3. This will bring you to the Admin Portal of the org that the user is associated with.
